Visitor Name Badges- Keep on Track with the People

Security and safety is a top priority for every company. Hence, identification systems have been generated to protect the well-being of everybody. Strict policy on the use of employees’ name badges at the workplace is being implemented as well. However, countless outsiders are coming in and out of the company’s premises daily encompassed by several visitors and clients. Sometimes, it is difficult to keep track on their transactions.

One of the approaches to manage appointments of guests is with the use of visitor name badge. A visitor badge serves as gate pass for every person who has an appointment within the company, yet is not a member of the firm’s workforce. This must be issued upon by the security staff or the receptionist to the guest after confirmation of the latter’s transaction. Therefore, as mentioned above, appointment must be set ahead of time for an organized visit. Likewise, this provides awareness to the security staff regarding expected visitors and their transactions. Thus, security of the establishment is not put into risk. The name and destination of the visitor can be written on the badge. However, this requires the company to provide a blank name badge to each visitor and have their necessary information printed. Some may require photographs to be attached on the vistor name badge. On the other hand, this is impractical. This may imply that the badge will be personally owned by a specific visitor. A more economical means is providing a generic visitor name badge. This does not require personal information. A bold “VISITOR” imprint would be applicable to distinguish the user from the employees.

One of the ways to use this efficiently visitor name badge is through designating color-codes on the said badge. A specific color indicates certain areas visitors are allowed to access, ensuring that they are really headed to their claimed destination. In case the guest wanders on off-limit areas, they will be easily identified by the security personnel. Besides, personal information of the visitor can be logged on the security guard’s log book upon entry and release of the said badge.

Apart from this, warnings or reminders regarding the security policy of the company must be enclosed in the badge itself. This is to make the visitor aware of the limitations of his visit. Likewise, company’s limited liability can be included as well. For instance, the badge may contain a statement that says “The Company is not held liable for lost personal belongings.” This would remind the guest to watch over his/her personal items. Furthermore, emergency contacts must be imprinted on the badge as well. This is to keep the visitor informed on whom to contact in case of urgent situations while he/she is within the company’s premises. Finally, make sure to collect back the issued vistor name badge before the visitor leaves. This allows the company to reuse the badge. Equally, this prevents unauthorized use of the badge.
